Young Farmers’ Clubs of Ulster is Northern Irelands largest rural youth organisation. We have over 2,500 young people, aged between 12-30 all of which are members of a network of 51 clubs.

Events Manager

The successful candidate will work within a close-knit team based in Belfast, connecting with members and stakeholders through regular events across the year. The role will work to develop, manage and execute events and activities throughout Northern Ireland, working closely with the Marketing and Communications Officer. A ‘can-do’ attitude combined with the ability to work to deadlines in a fast-paced environment & excellent communication skills are vital to succeed. Flexibility and adaptability in approach will be key.

Salary: £30,186 – £36,439 (depending on experience)

Please note, as we transition to new ways of working, this role will be a hybrid role, with potential to be full-time office based, in line with Government advice.

JOB PURPOSE

  • To manage the annual YFCU programme of competitions and events, ensuring they are delivered within budget and they meet the profitability targets set for the organisation.
  • To maintain and work to increase, levels of participation in these events across the counties of Northern Ireland.
  • To Manage a personal portfolio of events which will involve evening and weekend working.
  • To deliver further programmes of activity to directly support the key objectives identified by the executive committee (DAERA programmes, Grassroots Challenge and RLH Foundation).
  • To Manage Staff and processes within the Events team
  • To have Strategic and Operational input into future programmes
  • To act as Deputy for the CEO as required

NB – this job will involve working at approximately 30 evening/weekend events throughout the year; a TOIL system is implemented at YFCU

MAIN DUTIES AND RESPONSIBILITIES

  • Manage all existing Programmes, including DAERA (Department of Agriculture and Rural Affairs), EA (Education Authority) and proficiencies together with training and future programmes
  • Manage staff and involvement with end-to-end recruitment
    – Management of full circle recruitment and selection process of employees
    – The appraisals and delegation of duties to Events Co-Ordinator’s
    – Daily management of additional office staff, in absence of CEO
  • Accountable for organising competitions and events in line with the annual programme. 
    – Duties will include recruitment of participants, manage entry forms, organise venues, recruit judges and stewards, register entrants, deal with telephone, and email queries relating to the events, issue information on events as requested.
    – Attendance at events to oversee the smooth running will be a key responsibility of the role.
  • Monitoring the budget for each of the events. 
    – Recording expenditure and reporting monthly to the Financial Administrator to ensure budgets are adhered to.
  • Responsible for reporting on the events run. 
    – Monitor feedback and evaluation for each event.
    – Keep accurate spreadsheet records on participation and updating CRM system accordingly
    – Compile information for reporting and liaising with CEO
  • Attend YFCU County meetings when requested.
  • Assist with other HQ events.
    – Liaise with other members of the team as and when required.
  • Organise ad hoc events when required.
  • Build and maintain strong relationships with a wide variety of people at all levels
    – This will include Management, YFCU Committee, Members/ Volunteers, Sponsors (Companies), Stakeholders (DAERA and EA) and Schools.
  • Provide information to support policy development within the organisation.
  • Attend and manage internal YFCU Committee events
    – Duties will include scheduling and minuting the meeting.
  • Attend internal and external meetings as representative of YFCU, on behalf of CEO. Association, when required
  • Requirement to undertake external roles/ duties, where mutually agreed they are appropriate
  • Daily management of staff, physical and financial resources in the absence of the CEO

PERSON SPECIFICATION

Qualifications

Essential

  • Relevant 3rd level Degree and a minimum of 3 years relevant management experience
  • Valid clean driver’s license and access to vehicle

Desirable

  • Member of relevant professional body

Relevant Experience

Essential

  • Experience in event management
  • Experience of managing staff, in a paid capacity
  • Experience of budget management, in excess of £50,000
  • Experience of working with /managing volunteers
  • Experience of working in office environment
  • Computer literate with good working knowledge of IT packages, including Outlook, Excel, Word and Survey Monkey

Desirable

  • Experience end-to-end recruitment and managing staff
  • Working knowledge of agriculture or rural living
  • Experience using CRM system

ADDITIONAL INFORMATION

Work related travel

  • Requirement to travel to events across Northern Ireland
  • Working extended hours, beyond normal 9am-5pm
  • Requirement to drive personal vehicle to events, which will result in longer driving periods into evenings/ nights

Health & Safety risk assessment

  • Regular use of VDU
  • Requirement of heavy lifting/ movement at events, in line with YFCU risk assessments
  • Loading and unloading the car
  • Office building has no access to lift, only single central staircase and will require physical effort in bringing items up and down stairs
  • Working outside in all-weather elements including rain, hail and (on occasion) snow
